Retkeileville Oy has insurance policies in case of unexpected occurences during our services. As insurances will provide some additional protection, they do not always cover everything.

Therefore Retkeileville and its customers are both highly committed to our own actions towards ourselves, each other and nature.

Responsibility

As part of responsible travelling, we always take into account the following:

  • We travel with respect for nature and its flora and fauna.
  • We take all our trash out from the nature.
  • We use hiking facilities (maintained trails, fire pits, lean-tos, toilets) in a sustainable way.
  • We travel safely without rush, anticipating risks. I have mapped out the likely risk factors associated with each service in advance. I also draw up a written safety plan for each event, which I carry with us during the trip.
  • We are aware of ”everyone’s rights and obligations” – the unique Finnish framework established over 100 years ago. The use of any hiking facilities during our trips has been agreed in advance with the owner of the area, whether this is the state, municipality, city, association or private landowner.
  • For example, state-owned forestry company (”Metsähallitus”) charges a customer-specific usage fee of approximately 1.5 euros (in 2025) for the use of its facilities. The usage fees are included in the total prices of the services, unless otherwise stated.
Insurances

Despite good planning and preparation, it is always possible that something may go wrong during our trips. Retkeileville Oy has therefore a valid liability insurance, which covers damages caused to the customer due to the possible incorrect actions of the service provider.

Customers, whose municipality of residence is in Finland according to the Population Information System and the Municipality of Residence Act, are covered by group accident insurance issued by Pohjola Group. This insurance is included in the total price of the service. Foreign customers are not covered by group accident insurance. To ensure appropiate insurance coverage, customers are recommended to ensure the validity and coverage of their own personal accident and travel insurance taken personally or by employer.

General terms and conditions (v. 20.5.2025)

The general terms and conditions are valid until further notice. Retkeileville Oy reserves the right to change the terms and conditions. After booking the service, both the customer and Retkeileville Oy agree to comply with the following general terms and conditions:

  • The sales prices of the services are valid until further notice. The prices do not include VAT. (Retkeileville Oy is not liable for VAT).
  • Services can be booked by customers 18 years old and above. Those over 15 years of age can participate in the trip accompanied by their parents.
  • The customer is obliged to inform Retkeileville Oy in advance of any factors concerning their health that are necessary for the customer’s own safety or the safety of other participants (diabetes, epilepsy, food allergens, etc.). Retkeileville reserves the right to cancel the service if the service cannot be arranged safely for the reasons mentioned above.
  • Consuming any alcoholic beverages or drugs during the services and participating in the trip while intoxicated is prohibited. Retkeileville Oy reserves the right to immediately suspend the services if this condition is not complied with. The only exception to the prohibition on consuming alcoholic beverages during the service only applies to drinks included in food services served by Retkeileville Oy, which may contain a small amount (<0.5% by volume) of alcohol (a completely non-alcoholic beverage option is always available).
  • Retkeileville Oy reserves the right to cancel or suspend the services if the customer causes a disruption or safety risk to themselves or other participants through their own actions. In such cases, the payment made will not be refunded.
  • Failure to participate in the reserved service does not entitle the customer to transfer the reserved service to a later date or to a refund. See booking terms and conditions.
  • In force majeure situations affecting the services (e.g. natural phenomena dangerous to safety, strikes), our primary action is to arrange a new date for service. The customer is also recommended to ensure the coverage of their own insurance coverage in case of the above situations.
Terms and conditions for booking, payment and cancellation (v. 20.5.2025)

The terms and conditions are valid until further notice. Retkeileville Oy reserves the right to change the terms and conditions. After booking the service, both the customer and Retkeileville Oy agree to comply with the following terms and conditions, which apply to either private customers or corporate customers, depending on who is subscribing to the service:

Private customers
  • The service is booked either by phone, email or based on an accepted offer. After ordering, you will receive a confirmation message either by email or text message to the email address or phone number you provided upon order.
  • For group orders (7-12 persons), the number of people in the group must be stated upon order. Changes regarding the number of people must be notified to Retkeileville Oy no later than 48 hours before the commencement of the service, either by email or by phone.

    If the actual number of participants is greater than originally ordered, additional participants will be invoiced afterwards from the customer at the price per additional person stated in the service (or in the offer).

    If the actual number of participants is less than originally ordered, the difference will be credited to the customer at the price per person stated in the service (or in the offer), if the actual number of participants differs by a maximum of 25% from the number of participants stated in the order. If the actual number of participants differs by more than 25% from the number of participants stated in the order, the refund will be 25% of the order value. Refunds will not be granted in cases where the number of participants in the order is 8 people or less.
  • After confirmed order, an invoice will be sent to the customer by email. 50% of the total order value is considered as a reservation fee (”reservation fee”), which is due within 1–7 days depending on the time of booking. If the order is placed 14 days or later before the start date of the service, the reservation fee is due for payment immediately.
  • The remaining (50%) part of the total invoice amount (“remaining amount”) is due 7 days before the start date of the service. If the order is placed 7 days or later before the start date of the service, the remaining amount is due immediately, like the reservation fee.
  • Payments made by the customer will not be refunded if participation in the service is prevented for reasons attributable to the booker (non-participation, illness). See section ”cancellation” below.
  • If the service is canceled for a reason attributable to Retkeileville Oy (e.g. the minimum group size stated as a condition for organizing the event is not met or the guide becomes ill), the customer has the option of agreeing to transfer the purchased service to another date or requesting a refund of payments already made.
  • Cancellations must be made in writing to Retkeileville Oy either by email or text message. Orders can be cancelled free of charge 14 days before the start date of the service. Cancellations later than 14 days before the start date of the service does not entitle the customer to a refund of the already paid reservation fee. Cancellation later than 48 hours before the commencement of the service does not entitle the customer to a refund of the remaining amount already paid.
  • For services in the form of courses spread over several days, the service starting point is the first day. Therefore the service is considered to have been consumed in its entirety, regardless of whether the customer participates in each event included in the service.
Corporate customers
  • You may book services by phone, email or based on an accepted offer. After ordering, you will receive a written order confirmation to the email address you provided when ordering.
  • When ordering, you must state the number of people in the group. Changes to the number of people must be notified to Retkeileville Oy no later than 48 hours before the commencement of the service, either by email or phone.

    If the actual number of participants is greater than originally ordered, additional participants will be invoiced at the price per additional person stated in the service (or in the offer).

    If the actual number of participants is less than originally ordered, the invoicing is based on the actual number of people, if the actual number of participants differs by a maximum of 25% from the number of participants stated in the order. If the actual number of participants differs by more than 25% from the number of participants stated in the order, the invoicing is based on the number of people stated in the order, reduced by 25%. No refunds are granted in cases where the number of participants in the order is 8 people or less.
  • The service will be invoiced after the event (e-mail invoice). Payment terms 14 days net.
  • Cancellations must be made in writing by email or text message. The service can be cancelled free of charge 14 days before the start date of the service. Cancelling the order after this point of time, but 7 days before the start date of the service, entitles Retkeileville Oy to invoice the customer with an amount corresponding to 50% of the total order value. Cancelling the order later than 7 days, but 24 hours before the commencement of the service, entitles Retkeileville Oy to invoice the customer with an amount corresponding to 75% of the total order value. Cancelling the order later than 24 hours before the commencement of the service, entitles Retkeileville Oy to invoice the customer with an amount corresponding to 100% of the total order value.
